If you are unable to use the online form, you may print and fax the paper form.

Low budget accommodation: please note that no pre-bookings are possible through the Official Housing Agency for low-budget accommodation/modestly priced hotels, hostels, pensions and bed & breakfasts.

A number of hotel rooms in different price categories have been block-booked in Florence and the surrounding areas at preferential rates for the period of the IOF WCO-ECCEO10 Congress (May 05-08, 2010).

All rates are quoted in Euros (€), valid as of June 2009, and are subject to change upon written notification. Rates include breakfast, service charges, taxes and VAT at 10%.

Above indicated price ranges are for standard rooms and per night. Other room types (superior room, deluxe room, junior suite etc.) are available upon request and availability and will be quoted at the relevant price.

Hotel accommodation is subject to request and limited availability: requests received after April 15, 2010 cannot be guaranteed. Reservations are made on a first-come, first-served basis and are only confirmed when the payment of the deposit is received by Tour Orange, the Official Housing Agency. The names of people sharing rooms must be indicated.

Check-in/Out
Official hotel check-in time is after 14:00. Check-out time is 12:00. Your reservation will be held until your arrival. If you expect to arrive after 18:00, please inform the Official Housing Agency (Tour Orange).

Payment
-The deposit to guarantee your room reservation is the equivalent of full amount.
-Credit card (MasterCard or Visa) via online service provided by ‘Garanti Bankasi’ used by the Official Housing Agency.
-American Express: For American Express Credit Card, charges will be made in Turkish Liras according to the rate of the day of the transaction.
-Bank transfer: Please use the following instructions.

Please make sure to clearly indicate the name of the hotel & delegate and IOF WCO-ECCEO10 Congress as a reference in order to be able to trace your payment. All payments must be made in Euros (€) and include all bank charges.
Personal cheques and Eurocheques will not be accepted.

Confirmation
Confirmation and your receipt will be sent instantly per e-mail upon receipt of your online registration form in case of payments that are made by credit card online. 

When using a bank transfer, your request for a hotel room will be held for a maximum of 10 working days, provided that proof that the bank transfer has been requested with your bank accompanies the registration. The Official Housing Agency reserves the right to cancel the pre-reservation, in case the payment by bank transfer for the hotel deposit is not received in their account within the given 10 working days.

Changes
Hotels will not accept any changes in reservation directly. Please always contact the Official Housing Agency (Tour Orange) in writing by:

Cancellation, no show and early departure
All cancellations must be sent to the Official Housing Agency (Tour Orange) in writing as per above instructions.

Individual Reservation Cancellation
-Up to 120 days before the Congress: full refund less handling charge of € 25.
-Up to 90 days until March 10, 2010: 1 night room rate will be charged as cancellation fee.
-After March 10, 2010 the hotel will automatically release the reservation, and all payments will be non-refundable.

Early departure: The total number of nights reserved will be charged.

The Official Housing Agency (Tour Orange) reserves the right to charge the full stay if the room cannot be resold and/or if the Hotel ahs not accepted the cancellation. Appropriate refunds will be made after the Congress.

Reservations for a minimum of 10 rooms will be handled by separate contracts and regulations. Please contact Tour Orange at iofwco-ecceo10-hotel@tourorange.net

Cancellation:
1. Until August 01, 2009 the group can be cancelled by both parties without any penalty (except the non refundable amount mentioned on the contract)
2. From 02 August to 01 October 2009, the group has an allowable reduction of 30% of the room block. Any room cancellations over 30% will be charged at 2 nights no show fee.
3. From 02 October 2009 to 01 December 2009, the group has an allowable reduction of 10% of the room block. Any room cancellations over 10% will be separately charged at 2 nights no show fee. 
4. Any room cancellation after 02 December 2009 until 01 February 2010 will be separately charged at 2 nights no show fee.
5. Any room cancellations after 02 February 2010 and no shows will be charged at 100% of the room rates for the duration of the stay. 
6. Tour Orange does not guarantee any no show application resell conditions.

Tour Orange (Seda Tourism Trade INC.) and their agents shall not be responsible for and shall be exempt from all liability in respect of any loss, damage, injury, accident, delay or inconvenience to any person, or his/her luggage or any other property for any reason whatsoever, for any tourist services provided. Personal travel and health insurance is recommended.

Force Majeure
In cases of Force Majeure due to unforeseen political and/or economic events, acts of God, war, terrorism, floods and national emergency as well as any other causes that my escape control, Tour Orange (Seda Tourism Trade INC.) cannot be held liable for any compensation.
